Terms and Conditions
OUR RESPONSIBILITIES
Subject to the terms of this Agreement, we provide to you the NV Studio/Venue room between the agreed upon start and finish times. Tables, chairs, linen service and tableware are available for additional fees. NV Catering services are available and billed in addition to the room rental fee. Event Coordinator may hire NV Catering, an outside caterer or choose to bring in their own food and beverages.
CONTRACT PRICE AND EXPENDITURE
Venue rental fees start at $40/hour and may be adjusted based on the requested event amenities and duration.
YOUR RESPONSIBILITIES
To ensure the venue is respected, the Event Coordinator is responsible for:

Ensuring the safety of the guests.

Ensuring the behavior of the guests do not expose themselves to risk of harm.

Ensuring the venue facilities and equipment are not left abused or in a damaged condition.

Ensuring the function finishes within the designated Venue hire period and that any personal decorations and/or equipment, food and beverages, and trash are removed at the conclusion of the function.

Any damage to the venue property incurred during the hire period.

Any lost, broken or missing equipment will be charged at a replacement cost.
DECORATIONS
Decorations can be placed on the wall with scotch tape. No push pins/nails/screws are allowed. Hanging décor must be lightweight and approved by NV staff.
HEALTH AND SAFETY
Under the Health and Safety regulations, we are required to exercise our obligation to keep others and ourselves safe from harm.
Prior to and/or on arrival, our staff will provide a Health and Safety Policy brief. As the person organizing this event for you or your company, YOU are the person responsible for ensuring your onsite representatives (and any sub-contractors) are also made aware of these obligations.
Your main contact person on premises is then responsible for ensuring all your guests are aware of the Health & Safety Policy, and evacuation routes. We may end your function before the function end time in the case of an emergency, or if there is a case of serious disorder, or where you materially breach any of your obligations under this agreement.
EQUIPMENT AND MATERIALS
You will be responsible for the delivery, collection, safety and insurance of, any damage or loss caused by any equipment, materials or facilities you bring to the Venue. You will not bring or permit dangerous or hazardous substances, or objects of such weight that may cause overloading or strain to the flooring or walls of the Venue. You may not add to, alter, or attach equipment, fixtures or fittings to the Venue (including stands and other structures) without prior written consent. Use of smoke or dry ice machines are prohibited. Use of paints, inks, or dyes (tie-dye, painting parties, etc).
FOOD AND BEVERAGE
Use of commercial kitchenette available upon request. Limited refrigerator space is available.
NV Catering options/referrals are available.
SUPPLY OF LIQUOR
This Venue does NOT have a liquor license or sell any form of alcohol. Liquor can ONLY be ordered and provided by Event Coordinator or a licensed caterer for private events. Do not allow persons to become intoxicated at our Venue. Intoxicated people may be asked to leave.
DISRUPTIVE OR INTOXICATED PERSONS
We may require any persons who are intoxicated, violent, quarrelsome, insulting or disorderly, or any persons causing a nuisance at the Venue, to leave the premises.
FEES AND PAYMENT
We reserve the right to request a non-refundable deposit. A minimum of a 2-Hour Venue rental is required. Full payment of the total Venue balance is required the day of the event. Payment is currently accepted by cash or electronic invoice. Additional set up time rate is available upon request.
BOOKING CONFIRMATION
Venue requests will be temporarily scheduled pending deposit. Deposits must be made withing 48 hours of receiving invoice to confirm booking. If another party wishes to hire the Venue before your booking has been confirmed and deposit received, we will attempt to contact you to request payment. If deposit is not received within 48 hours, your temporary booking date will be released.
RESCHEDULE/CANCELLATIONS
A 48 hour notice is required to reschedule an event. Rescheduling may forfeit deposit.
All cancellations must be received via email and the following terms are applicable:

Any additional fees or catering charges are non-refundable, with limited exception.
CANCELLATION AND TERMINATION BY VENUE
We may cancel your booking and thereby terminate this agreement at any time when incidents occur which are deemed outside of our control and affect the Venue’s ability to provide the services for which it was contracted. Any deposits paid will be refunded to you. No deposits will be refunded if guests or any other persons permitted entry into the event by you or someone on your behalf do not comply with the conditions, requirements or restrictions referred to in this contract.
CANCELLATION AND TERMINATION BY EVENT COORDINATOR
If for any reason other than due to the default of our company, any expenses and fees incurred by us will be properly chargeable.
YOUR LIABILITY

All liabilities, damages, losses and costs which we may incur directly or indirectly as a result of a breach of this agreement.

Your actions/equipment or the actions/equipment of any guests or persons permitted entry in the Venue by you or someone on your behalf, including the death of or injury to any person and the damage to any property (including property owned by the Venue).
To the maximum extent permitted by law, we will not be liable to you or your guests or any other persons permitted entry into the venue by you or by someone on your behalf. Without limitation, this includes any loss or damage to property brought into or left at the venue prior to, during or after your function. This also include and any loss or damage arising out of the catering services or equipment, whether the damage or loss is suffered before during or after your function.
